The best method for maintaining reliable physical security is for employees to be informed, act safely and exercise good, practical and ethical judgment in the workplace. Employees should remain vigilant and recognize situations where a security problem might occur. To report physical security emergencies on UP property, call the Response Management Communication Center at 888-877-7267.

Why does Union Pacific require employees and contractors to have a UP photo ID / access card?

  • Your UP photo ID / access card is a an integral part of the company’s physical security measures. The card affirms your business relationship with Union Pacific Railroad. Your card may provide access to secure areas within designated UPRR facilities.
  • You are responsible to have your UP photo ID / access card on your person at all times while on company property, regardless of your work location or area (office, facility, or in the field ). When practical, your photo ID / access card should be prominently displayed.
  • Please know that access cards are issued for business purposes only and you are expected to safeguard against unauthorized use. Do not lend or share your access card with anyone.
  • UP photo ID / access cards are company property and must be surrendered upon request of management.
  • You must not allow others to follow you through a security checkpoint without providing their own credentials. This is sometimes referred to as “tailgating” or “piggy backing”.

What secure areas can I access with my UP photo ID / access card?

  • Your UP photo ID / access card is programmed to allow access to your primary work area and any other areas where you have responsibility or a business requirement. The cards also allow access for all employees to the Jim Young Employee Development Center located at Union Pacific Center in Omaha, NE. during business hours.
  • You should always use your own ID badge to enter any secure area. Do not piggy-back or tailgate behind other personnel through secure checkpoints.
  • You may view your current access to secure areas in the Photo ID and Credentialing System (PICS). Refer to My Access in the Credentials section.

How do I request access to additional secure work areas or UP facilities?

  • Contact your designated Security Representative to request access to additional secure work areas or UP facilities. The Security Representative will confirm your business requirement before granting access to the area(s) they manage or submitting an access request for areas managed by another Security Representative.

Who is my Security Representative and how do I contact them?

  • Refer to the list of Security Representatives in the Photo ID and Credentialing System (PICS). They are listed by department and location with their email & telephone contacts included.

Why can’t I access a secure area that I was able to access in the past?

  • Security Representatives are expected to actively audit the access for their respective areas to affirm the on-going business requirement and may remove access based on personnel changes or lack of use. Contact your designated Security Representative to regain access should you require it.

What happens if I forget my UP photo ID / access card and need it to access my secure work area?

  • Check in with Security personnel at your work location. You will be issued a self-expiring temporary access card to your secure work area. You will be asked to return the temporary access card to Security at the end of your work shift. Please have your assigned UP photo ID / access card on your person for your future work shifts. Note that frequent or continued requests for a temporary access card will require Supervisor notification, and potentially Supervisor escort, to be granted entry into UP facilities.

What happens if I do not need to use my UP photo ID / access card to access a secure work area / UP facility? Will my access card remain active if I do not use it?

  • Your access to secure areas will be automatically deactivated if the card is not used within a rolling 30-day period; unless special arrangements are made with your Security Representative. (This includes the default access to the Jim Young Employee Development Center programmed into all employee cards.) You may regain access to secure areas by reactivating your UP photo ID / access card in the Photo ID and Credentialing System (PICS). Refer to Reactivate My Badge in the Credentials section. Remember, you are responsible to have your UP photo ID / access card on your person while working on company property and when practical, your photo ID / access card should be prominently displayed.

May I use my UP photo ID / access card at UP facilities while I am on leave?

  • Your access to secure areas will be automatically deactivated whenever your employment status in SAP is other than “Active”. Upon return from leave, update your employment status in SAP by contacting your Supervisor and / or the HR Service Center. Contractors should contact their UP Representative. Confirm your card is active or reactivate your UP photo ID / access card in the Photo ID and Credentialing System (PICS). Refer to Reactivate My Badge in the Credentials section.

What happens if I’ve lost my UP photo ID / access card?

  • Lost or stolen UP photo ID / access cards must be reported in the Photo ID and Credentialing System (PICS) Refer to Report Lost Badge in the Photo ID section. The lost card will be automatically deactivated. A replacement UP photo ID / access card will be created and may be picked up in person at Omaha’s Union Pacific Center or mailed to your work or home address listed in SAP. You should also report the lost card to your respective Security Representative.

How do I request a replacement UP photo ID / access card?

  • Employees have the ability to submit a new photo to the Photo ID and Credentialing System (PICS) to receive a replacement card. The process is outlined in the Request a New Photo ID / Access Card QRG. Supervisors will be notified to review and approve employee submitted photos to ensure compliance with the Rules for Self Submitted Photos.
  • Once your new access photo ID / access card is processed and activated, your previous access card will be deactivated and rendered expired within PICS. Please destroy all previous expired / deactivated access cards.

When does my UP photo ID / access card expire?

  • Your card will automatically expire six years from the date issued. The Photo ID and Credentialing System (PICS) allows employees to confirm the expiration date of their current card at any time. You are encouraged to renew your card three months prior to the set expiration date. Renewed cards may be picked up in person at Omaha's Union Pacific Center or mailed to your work or home address listed in SAP.

How do I approve a replacement UP photo ID / access card requested by an employee or contractor within my work group?

  • As a Supervisor, you will receive an email when your Employee self-submits a new photo to PICS to replace their current photo. You will be advised to Review and either Approve or Reject the photo before it can be processed. Note, photos not reviewed within 14 days will be rescinded and must be resubmitted. How do I reactivate my UP photo ID / access card?

  • You may reactivate your UP photo ID / access card in the Photo ID and Credentialing System (PICS) as long as your employment status in SAP is “Active”. Refer to Reactivate My Badge in the Credentials section. Update your employment status in SAP by contacting your Supervisor and / or the HR Service Center. Contractors should contact their UP Representative.

Do I have access to the Jim Young Employee Development Center located at Union Pacific Center in Omaha, NE?

  • UP photo ID / access cards allow all employees to access to the Jim Young Employee Development Center located at Union Pacific Center in Omaha, NE.
  • If you are traveling to Omaha to participate in training any you do not routinely use your card to access secure work areas, please confirm your card is active or reactivate your UP photo ID / access card in the Photo ID and Credentialing System (PICS). Refer to Reactivate My Badge in the Credentials section.

Do visitors require a UP photo ID / access card?

  • Union Pacific welcomes visitors, including family members. In some locations, visitors must be pre-registered, issued temporary badges upon arrival and escorted at all times. In other locations, visitors must complete paperwork. Before you invite visitors onto the property, talk with your supervisor to be sure you know the policy at your work area.
  • Visitors to the Union Pacific Center or the Harriman Dispatch Center in Omaha, NE. must be registered in the Visitor Registration database. Refer to the Visitor Registration Quick Reference Guide.
  • The Union Pacific Police Department requires advance notice of foreign visitors who are not employed by Mexican or Canadian railroads. Visitors from other countries are welcome guests, although some areas may be off limits during their visit. Refer to the Foreign Visitor Policy and forms on the UP Homeland Security webpage.
